Complaints

At 3D Tandarts, we find it very important that you are satisfied with our care and service.
If you still have a complaint, please let us know. We take every complaint seriously:

  • because we highly value your experience and satisfaction;
  • and because we see every complaint as an opportunity to further improve our care and communication.

How can you submit a complaint?

You can easily submit your complaint to us using the form on this page.
This will initiate our internal complaints procedure.

After receiving your complaint:

  • we make an initial internal assessment,
  • and we will contact you within 72 hours for an initial response, any clarification, and to agree on the next steps.

If your complaint contains (potentially) medical or other sensitive information, we will — if necessary — open a secure communication channel.
This allows us to communicate with you safely and exchange any sensitive information or documents.

Timeframes

According to the Dutch Quality, Complaints and Disputes Act (Wkkgz), you will receive:

  • a well-reasoned written response from us within 6 weeks after submitting your written complaint;
  • this period may be extended once by a maximum of 4 weeks if necessary. You will receive written notification with an explanation within the first 6 weeks.

Independent complaints officer and disputes committee

Our practitioners (dentists) are regularly affiliated with a recognised complaints service.
Which independent complaints officer and which disputes committee apply in your specific situation may depend on the practitioner involved in your complaint.

Therefore, the following applies:

  • after our initial assessment we inform you within 72 hours in writing about:
    1. the right complaints officer, and
    2. the competent Geschilleninstantie Mondzorg (SGIM),
      including all associated contact details and the correct route.

The independent complaints officer can advise you free of charge and — if you wish — mediate to help reach a solution together.
If a complaint is not resolved to your satisfaction, you can then submit it to the Oral Care Disputes Committee (SGIM), which can issue a binding decision.
